APPOINTMENT POLICIES
Scheduling Appointments
Appointments are scheduled based on therapist availability at the time of the booking. If requests for the same appointment time are made by multiple clients, the appointment will be confirmed for the client whose appointment request was received first.
To hold an appointment, we require a credit card on file and acknowledgement of our late-cancellation/no-show policy. We have a considerable waitlist and ask that if you know you’re not able to make your appointment, please cancel or reschedule it as soon as your schedule changes. This will allow us time to fill the spot with another person in acute pain. The next time you wake up in pain, you might benefit from someone who just opened up their spot.
Rescheduling Appointments
Life happens to both of us. From time to time, either the client or the therapist could need to reschedule their appointment.
- Client-Initiated
- 48 hours in advance: Clients can make changes to appointments using the app and select a new date/time as needed
- Under 48 hours:
- For changes after the cancellation window, contact us directly to reschedule via text or email.
- Illness can hit overnight. If you’re ill, stay home and rest. Massage is not recommended during illness and can make it worse.
- Emergencies happen. Let us know as soon as you can. Please send us a text or email after 8PM.
- Charges may apply for repeatedly cancelled appointments within the 48 hour window.
- Therapist-Initiated
- Your therapist may reach out to reschedule your appointment due to unforeseen injury, illness or unavailability. We value your time and will reschedule your appointment once the therapist has returned to full capacity.
Canceling Appointments
Both clients and therapists may cancel appointments with proper notice.
Late-Cancelation/ No-Show Policy
Appointments that are cancelled within the 48 hours (for reasons outside of emergency or acute illness onset reasons) or appointments that are missed and no-showed completely, are subject to a Late Cancelation/No-Show Fee to cover a fraction of the therapist’ time that was reserved and prioritized for you. We are human, you are too. We understand things happen. This policy helps us to ensure we can keep our prices lower than typical market rates for our advanced therapies and more affordable for when you can come in.
Minor's Policy
We require a written referral from a treating physician (pediatrician, chiropractor, therapist, naturopath etc. ) for each minor. We also require a parent or care giver in the treatment room at all times until the minor is 18. Newborns, infants, kiddos and teens of all ages are welcome. The earlier we can address physical restrictions in the children, the more capacity for growth, change and self-expression they can develop.
We encourage parents to communicate with the therapist during the session, advocating for the minor and helping the minor to practice voicing their concerns about what causes them pain. Our goal is to foster therapist-parent interactions which serve as positive modeling to help kids learn to become their own self-advocates and practice asking themselves to feel, name and talk about what causes them pain. It’s a skill that has to be learned. We all need practice and safe place to seek meaningful therapies.
PAYMENT POLICIES
Credit Cards on File
By scheduling an appointment with us, you’re agreeing to allow our merchant services provider, Square, store your credit card on file in our encrypted system for the purposes of holding your future appointments and charging late cancelation fees if applicable. Neither us nor ClinicSense stores your credit card information. We can see the last 4 digits of your card on file but otherwise have no other access to view the details of your card.
You may also utilize your card on file to authorize payments for services rendered during checkout and add therapist tip if you desire. Tips are accepted but will never be requested.
You may change your card on file at any time, by communicating your new card information to us directly, or by updating the information directly in your ClinicSense client account.
Services Rendered
We do not require a deposit or payment in advance of the appointment. Appointments are paid for once services have been rendered using the card on file and are not eligible for refunds. We do ask for a credit card on file to secure your appointment time and cover any late cancelation fees that may arise. At the completion of your session, your card on file will be charged for services rendered. You may add a therapist tip to your session invoice by letting us know the amount before we process payment. We accept tips but will never ask you during checkout. You may also charge a different card at the time of checkout provided that card is with you at the time of the appointment. Some FSA/HSA cards that include a Visa/MC logo can be used for payment depending on the conditions of your individual FSA/HSA account requirements.
Therapist Tips
In private practice tips are accepted with gratitude, but are not expected. If you wish to add a tip to your service on credit card, please let us know during check out. We will not ask you.
Gift Certificates
Gift certificates are available for purchase in any amount, online or in-person, and will generate an electronic gift certificate that can be easily printed or emailed to your Gift Recipient. Gift Certificates do not expire. Unredeemed certificates can be re-emailed to the purchaser.
Session Packages
Packages are available for purchase during in-person visits and can be customized to the client’s needs. If you’d like a massage therapy package containing (2) 60-minute sessions + (2) 90-minute sessions, for example, we can create that package for you. Likewise, if you’d prefer a package that combines Massage and CranioSacral sessions together, we can create that option for you as well.
All packages receive a $10 savings per session. For security reasons, packages are not sold over the phone unless you are an established client with our practice. Packages can be shared by a family member or friend with expressed consent from the purchasing party.
